We all do this right?  Whether that's recreating something or doing a task over and over again when it could be automated, redoing work is a terrible waste of our time.

At ProMAX we saw this happening a lot with our support team. There were times when we were solving the same problem over and over again. We got really good at solving the problem but we were still spending way too much time going through the same cycle just with different people. Once we realized how much time this was taking away from our team we had to take a step back and find a better way to do things. 

The first thing we did was take a look at our available resources and what we were doing internally. We see the same type of situation with a lot of our clients when they are searching for files, particularly when it is files that they created a while ago and need to revisit. 

What causes these issues?

The way people organize video files can be extremely different from person to person. What makes sense and is logical to one editor can be a confusing mess for the rest of the team.

Without some agreed upon organizational structure everyone is off doing their own thing which only compounds the mess as more files are brought into the system.

So how do you end the cycle of redoing work? Start by taking a step back and looking at your team and the resources you have and ask yourself the following questions:

  1. What are we doing over and over again?
  2. What technology resources do we have? How can it help us?
  3. Do we have a company-wide file organization structure?

In some cases bringing in new technology can give your team the boost it needs to end the cycle of redoing work but in other cases even the right technology isn't enough.

For video teams, bringing shared storage and media asset management (MAM) into your organization can be a great starting point, but if you aren't using it correctly then you just have a high-performance drop box.  It's not until you build an organizational structure that everyone can understand that you will start to see it payoff for your team. It will take some manual work on the front end to set up but once it is in place your team can work smoothly and stop wasting time redoing the same work.
